In data protection terms, Veritas Accounting is the “data controller” for the information described on this page, meaning we decide what data is collected and why, and we're responsible for looking after it properly.
What information we collect, and whyWhat we collect depends on how you interact with us:
- Just browsing our website? We pick up some basic technical information automatically, like your browser type and the pages you visit — see Cookies below.
- Filling in our contact form or signing up to our newsletter? We collect your name, email address, and whatever you choose to tell us.
- Becoming a client? We'll need your contact details, and — because we're an accountant — a copy of your ID, proof of address, and financial and tax information. If you run a company, we'll also need details about its directors and beneficial owners.
We use this information to:
- Actually do the accounting work you've asked us to do.
- Follow the law - Luxembourg tax rules, bookkeeping rules, and anti-money laundering rules all require us to keep certain information and records.
- Respond to you, if you've written to us or signed up for something — only where you've said that's OK.
- Run our business responsibly, for example to prevent fraud or to defend ourselves if a dispute ever arose.
For anyone who wants the formal wording: we rely on performance of a contract, compliance with our legal obligations (including under Luxembourg's AML/CFT law), your consent, and our legitimate interests as the legal bases under Article 6 GDPR, depending on the activity described above.
Why we ask for ID (client due diligence)Luxembourg law requires accountants to check who they're working with, a bit like what your bank does when you open an account. That's why, once you become a client, we may ask for a copy of your ID, proof of address, and - for company clients - information about directors and beneficial owners. This isn't something we can make optional; it's a legal requirement for our profession.
How long we keep your data- Client and accounting records: 10 years, as required by Luxembourg accounting and tax rules, or 5 years after a client company is liquidated.
- Website enquiries that don't turn into a client relationship: kept for up to 12 months, then deleted.
- Newsletter sign-ups: kept until you unsubscribe.
- Cookies: see the Cookies section below for how long each type lasts.
We never keep data longer than we need to, except where the law requires a specific retention period.
Who we share your data withWe don't sell your data, and we don't share it for anyone else's marketing. We only share it when it's genuinely necessary:
- With Luxembourg tax and administrative authorities and official registers (like the RCS or the Register of Beneficial Owners), where the law requires it or it's part of doing our job for you.
- With the tools and providers we use to run our practice. These providers only use your data to help us serve you.
Some of these tools can be based outside the EU. When that happens, we make sure the legal safeguards required under European data protection law, such as the European Commission's Standard Contractual Clauses, are in place.
Your rightsYou can ask us, at any time and free of charge, to:
- Show you what personal data we hold about you.
- Correct anything that's inaccurate.
- Delete your data, where we're legally able to.
- Limit how we use your data.
- Give you a copy of your data in a portable format.
- Stop using your data for a particular purpose, or opt out of marketing entirely.
- Withdraw your consent, wherever consent was the reason we were using your data.

How we protect your dataWe take reasonable, appropriate steps to keep your data safe - from limiting who can access it, to choosing service providers with proper security practices. On top of that, as an accountant we're personally bound by professional confidentiality about your affairs, quite separately from data protection law.
CookiesCookies are small files that help websites run properly and help us understand how our site is used. veritasaccounting.lu uses two kinds:
- Essential cookies - needed to make the website work. These are always on and don't require your permission.
- Analytics cookies (Google Analytics) - help us understand how visitors use the site, so we can improve it. We only switch these on if you say yes via our cookie banner, and they may involve your (anonymised, where technically possible) IP address and browsing behaviour being processed by Google.
- Targeting cookies - used to identify visitors between different websites, eg. content partners, banner networks. Those cookies may be used by companies to build a profile of visitor interests or show relevant ads on other websites.
Turning non-essential cookies off may affect how well parts of the site work.

Our contact formWhen you get in touch through our website, we use whatever you tell us - your name, email, and message - just to reply to you. We keep it only as long as needed to handle your enquiry, unless you go on to become a client.
If you're under 18Our website and services are aimed at businesses and adults. We don't knowingly collect personal data from anyone under 18. If you think a minor has shared data with us, please let us know so we can remove it.
Changes to this policyWe may update this page from time to time, for example if our services or the law change. The latest version will always be here, with the date at the top. If a change meaningfully affects how we handle an existing client's data, we'll also let them know directly.
